Job description:
We are seeking a highly organized and detail-oriented Office Operations Assistant to support our administrative and operational functions. The ideal candidate will possess strong computer literacy, excellent customer service skills, and experience in office management. This role is essential for maintaining smooth office workflows, managing communications, and providing exceptional support to staff and clients. The Office Operations Assistant will be a key team member in ensuring efficient daily operations within a professional environment.
Responsibilities:
Manage desk duties and handling multi-line phone systems with professionalism and courtesy
Perform data and order entry, filing, and document proofreading to ensure accuracy and organization
Utilize Microsoft Office Suite, Google Workspace, and other office management software to prepare reports, correspondence, and presentations
Assist with calendar management, scheduling appointments, and coordinating shipments
Support bookkeeping tasks using QuickBooks Enterprise software
Provide customer support via phone, email, or in person, demonstrating excellent phone etiquette and communication skills
Handle administrative tasks such as document management and maintaining office supplies inventory
Support office management activities including organizing files, managing emails, and coordinating internal communications
Maintain confidentiality of sensitive information while ensuring compliance with company policies
Skills:
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
Strong organizational skills with the ability to prioritize tasks effectively
Excellent written and verbal communication skills; bilingual (Turkish) abilities are a plus but not necessary
Experience with office operations and multi-line phone systems
Experience in B2B, food sector is a plus
Familiarity with QuickBooks or other bookkeeping/accounting software
Office management or clerical experience preferred; customer service background highly valued
Attention to detail for proofreading and data entry tasks
Strong time management skills to handle multiple responsibilities efficiently
Ability to work independently as well as part of a team in a fast-paced environment
Assist with inventory tracking and reconciliation, updates in internal systems
Support customer inquiries and food quality related documentation
